the pro forma invoice shopping cart

The pro forma invoice shopping cart allows customers to request a firm quote before finalizing their order in addition to a "standard checkout". It was developed for Diversified Enterprises for Dynesonline and is ideal for smaller companies that export internationally. It can be customized to integrate with a range of products and companies.

how it works...

When a customer places an order requesting a firm quote (Pro Forma Invoice), the site owner is notified via email, and from the Order Manager inputs shipping/handling charges, discounts, and number of days to expiry. The customer is then notified via email and can access the quote through the Registration and Order Center. Customers may accept, amend, or delete the order at this point.

If accepted, the site owner processes the order and updates information to reflect the completed invoice.

If amended, the site owner updates information to reflect those changes and passes it back to the customer.

If deleted, the customer is asked to confirm that they wish to delete the offer entirely and may enter a note to be included with notification of the order termination.

Notes are optional with each step of the process and the order can be amended multiple times before reaching a completed order.

Account Creation/Managment

Users choose a username, password, and option for informational emails. Contact information for main/administrative contact, shipping contact, and billing contact is required. The system can be configured around specialized needs.

Upon account creation, users can login immediately. Users may also fill out a credit application after registration. The site owner is notified of the new account, and will assign an account number and credit status for the new user. Mupltiple users within a company may be registered under the same account number.

Registration and Order Center

Customers can view/manage the following:

  • Account Information
    View account number, credit status, and view/manage email subscription options, access credit application, delete account.
  • Order Manager
    View orders and invoices.
    Invoices are made available for 14 days from ship date at which time they may be deleted by the customer.
  • Pro Forma Manager
    View status of and view/manage orders and invoices.
    Order status changes at expiry and becomes wholly unavailable when seller deletes the expired quote. Invoices are made available for 14 days from ship date at which time they may be deleted by the customer.
  • Saved Carts
    Access and delete saved carts
  • Contact Information
    Manage shipping, billing, and administrative contact information

Order Manager (seller)

Administrators view orders and input data to create invoices. Invoices may also be deleted by the administrator.

Pro Forma Manager (seller)

Administrators view orders, input data for firm quotes, and process completed pro forma invoices. Orders may be deleted at anytime after expiry but are accessible by customers until deleted.

opt-in email options

Site owners can periodically email account holders that choose this option. As part of registration, users are offered a choice of "plain text", "dual text/html" or none for this feature. Site owners simply enter a subject and text (with basic text formatting options and any links), preview, and send. A plain text version is sent to those that choose that option, while a dual text/html formatted email is sent to those who choose that option. Users opt-out by selecting "none". This can be updated at any time through the registration and order center.

saved carts

A shopping cart may be saved at anytime prior to checkout for later use. Multiple carts may be saved. When a cart is cleared, if it is a saved cart, it is not deleted and may still be accessed from the registration and order center at a later time. Carts are designated by the date and time they were saved and may be accessed or deleted this section.

absolute minimum pricing

Some orders just aren't worth shipping! Minimums can be assigned and tested against domestic or international shipping addresses. Some orders are worth shipping no matter how small - these can be excluded.

volume discount pricing

Pricing based on ranges of quantites can be customized for products that require it.

minimum/maximum quantities

Sometimes items need to be shipped as a minimum (or maximum) number of items. This error checking will test for that.

"mini-cart"

The "mini-cart" shows all items in a shopping cart in any product or informational page on the site. Items can be deleted or quantities modified through the "mini-cart".

lost password feature

Users who have lost their password simply enter their email address to be sent a link where they may change their password.

credit application and credit status

Registered users may apply for credit through an online form. Terms are presented based on the users' credit status.
